Fortnightly Payroll Payments
EVERY FORTNIGHT

AT A GLANCE
  1. [Accounts Administrator] Administrator collects punch cards weekly, tallies hours
  2. [External/Other] Payroll Officer enters the Wage Summary calculation
  3. [External/Other] Julie reviews, signs, and pays
  4. [External/Other] Payroll Officer scans the signed document
  5. [Accounts/Bookkeeper] Excel + signed doc emailed to Bookkeeper
  6. [Accounts/Bookkeeper] Bookkeeper processes the payrun in MYOB, files STP
  7. [Accounts/Bookkeeper] Bookkeeper prepares the Super payment
  8. [External/Other] Kevin approves the Super Direct Debit
  [Accounts Administrator] Every week, collects the punch cards near the door and tallies hours ahead of
  time into an Excel timesheet.
  [Accounts Administrator] Enters the hours to calculate wages, using the Wage Timesheet Summary Excel
  file as the reference.
  [External/Other] Payroll Officer enters the payroll information into the summary table for Wage Summary
  calculations, then prints it for Julie to review and approve.
  [External/Other] Julie reviews, signs the hardcopy, and makes the payment.
  [External/Other] Payroll Officer scans the signed document, named by pay period, and saves it to the
  folder.

   [Accounts/Bookkeeper] Payroll Officer emails the Excel file and Julie’s signed document to
   Accounts/Bookkeeper.
   [Accounts/Bookkeeper] Accounts/Bookkeeper enters the information into MYOB to process the payrun,
   then confirms it’s correct for STP and Superannuation.
   [Accounts/Bookkeeper] Once the payrun is filed via STP, Accounts/Bookkeeper prepares the
   Superannuation payment in MYOB, reflecting the latest STP submission.
   [External/Other] Emails Kevin the approved summary (Julie’s signed hardcopy) and confirms Super is
   ready to approve — Kevin double-checks the payrun and approves the Direct Debit payment in MYOB.
   Super runs on Direct Debit and there's only a 7-day window to pay it — it needs to be processed at the same
   time as the payrun, not queued for later.
